One document. Everything you need to know about how Kaayko Alumni OS handles your data, the terms under which you use the platform, and the security practices we uphold. Plain language where possible; precise language where it matters.
Kaayko Alumni OS is operated by Kaayko Technologies Private Limited("Kaayko", "we", "us"). We build a private alumni network platform for schools and colleges. Each institution gets its own isolated portal — their alumni data never mixes with another institution's. We are based in India and all data is stored in India.
We operate in two roles:
We do not sell, rent, or share personal data with third parties for any commercial purpose. Alumni data is never used for advertising or profiling.
All data is stored on cloud infrastructure hosted in India. We do not transfer personal data outside India. Backups are encrypted and remain in-country.
Institutions may export their alumni and donation data (CSV) at any time. On subscription end, data is held for 30 days for export, then permanently deleted. Audit records are retained for 12 months.
Under GDPR, the DPDP Act 2023, or applicable local law, you may have the right to access, correct, delete, or port your personal data. Alumni should contact their institution administrator first. Institutions write to us at rohan@kaayko.com. We respond to erasure requests within 30 days. Alumni can also self-anonymise through their profile settings.
We use session cookies strictly to keep you signed in. We collect anonymised product analytics to understand how the platform is used — this does not track you across other sites and contains no personal identifiers. No advertising cookies are set.
The platform is not directed at children under 13. Where an institution serves younger alumni, it is responsible for obtaining appropriate consent under applicable law.
Material changes are emailed to institution administrators at least 14 days before taking effect. Continued use constitutes acceptance.
By using Kaayko Alumni OS you agree to these Terms on behalf of yourself and the institution you represent. If you do not agree, do not use the platform.
Kaayko grants a limited, non-exclusive, non-transferable licence to use Kaayko Alumni OSduring the subscription term for managing the institution's alumni relationships. All intellectual property in the platform belongs to Kaayko.
The platform may not be used to transmit malware, conduct fraudulent fundraising, impersonate another institution, or violate any applicable law. We may suspend accounts in violation without notice where harm is imminent.
Fees are invoiced annually in USD, exclusive of applicable taxes. Payment terms and tier-specific SLAs are as stated on the pricing page and in your order form. Overdue accounts may be suspended after 14 days written notice. No refunds for partial periods except where required by law. A platform fee of 1% applies to donations processed on the Starter tier; this fee is waived on Institute and Enterprise tiers. Razorpay and Stripe gateway fees are passed at cost.
Uptime targets by tier: Starter 99%, Institute 99.5%, Enterprise 99.9% — all measured monthly, excluding scheduled maintenance. Customers receive service credits when a monthly target is missed. Scheduled maintenance is announced 48 hours in advance.
Kaayko's aggregate liability for any claim shall not exceed fees paid in the 12 months prior to the claim. We are not liable for indirect, consequential, or punitive damages.
Either party may terminate with 30 days written notice at a renewal date. Kaayko may terminate for material breach or non-payment with 14 days notice, or immediately for illegal use or imminent platform harm.
Governed by the laws of India. Disputes fall under the jurisdiction of courts in Nagpur, Maharashtra. International institutions may request a neutral jurisdiction in writing.
All data is hosted on enterprise cloud infrastructure in India. Every institution's data is fully isolated — no institution can access another's records. Data is encrypted in transit and at rest. Credentials are never stored in plain text. Sessions are cryptographically signed and stored in secure, browser-only cookies.
We support email/password sign-in and social sign-in via Google and Apple. Sessions are cryptographically signed with short-lived, secure tokens. Access to alumni data requires explicit admin approval — alumni cannot access a portal simply by creating an account.
Card data never touches our servers. Payments are processed by Razorpay and Stripe, both PCI-DSS certified providers. All payment events are verified via webhook signature before being recorded.
Profile photos are uploaded directly to secure cloud storage via time-limited authorisation tokens. Our servers authorise the upload but never handle the file itself.
Access to production systems is restricted to authorised Kaayko staff on a need-to-know basis. We do not access institution data except at the institution's explicit request for support, or as required by law.

If a personal data breach creates risk to individuals, we will notify affected institutions within 72 hours, consistent with GDPR and DPDP Act obligations.
